Email Signature

    A signature is a short string of text that is added to the end of email messages you send. It will usually contain your full name, title, phone number, e-mail address, etc.

  • To add a signature to your GroupWise email, click Tools > Options > Environment. Click the 'Signature' tab.
  • Here, you have options for multiple signature files. For example if you are staff and an instructor, you could create a signature file for each.
  • Place a check in the box next to Signature to activate it.
  • Click the 'New' button to open a new signature file.
  • Enter a name for the signature and click OK.
  • Type the text you want as a signature in the Signature box.
    • most signatures include your office location & room number, phone, e-mail.
  • Click the signature option you prefer (Automatically add - or - Prompt before adding).
    • If you create more than one signature, you can distinguish one to be the 'default' selection.
    • Choose the desired signature from the 'Signature name' drop-down list and select the check box 'Set as default'.
  • Click OK and Close.
    • The Electronic Business Card (vCard) option causes print-outs to print an extra page for the business card. You probably should not use this option.


Creating Personal Folders

  • To create a folder, click File > New > Folder
  • Select Personal folder and click 'Next'
  • Enter a name for the folder. You can adjust its placement in the folder list by clicking 'Up', 'Down', 'Left' or 'Right'. Click 'Next' to continue.
  • If you need to customize settings, you can do this on the final screen. Normally, you do not have to change any of these settings. When finished, click 'Finish'.

Creating Shared Folders

  • To create a shared folder, click File > New > Folder
  • Select 'Shared' folder and click 'Next'
  • Enter a name for the folder. You can adjust its placement in your folder list by clicking 'Up', 'Down', 'Left' or 'Right'. Click 'Next' to continue.
  • Enter the names of people you wish to share the folder with. You can customize their access by clicking their name and granting additional access. Click 'Next' to continue.
  • If you need to customize settings, you can do this on the final screen. When finished, click 'Finish'.
  • Those you granted access to will receive a notification of the shared folder access which they should open and accept access to add the folder to their folder list.


Rearranging Folders

  • From the Main Mailbox Window, Click Edit > Folders...
  • You will see the Folders dialog box open.
  • Click the + sign in front of the Cabinet to expand your list of folders.
  • Single-click on a folder to highlight it.
  • Use the Move buttons to change the order of the folder.
  • You cannot move more than one folder at a time.
  • When you have re-arranged your folders, Click OK.


  • You can also move folders by right-clicking and dragging them to a new location. When you let go, you will be prompted to move the folder into, above or below the folder you dropped it on.

Personalizing message subjects

  • Sometimes message subjects don't adequately describe what a message contains. GroupWise lets you change the subject of a message to suit your needs.
  • If you already have the message open, click the 'Personalize' tab at the top.
  • If the message is not open, right-click it and choose 'Properties'. Then click the Personalize' tab at the top.
  • In the 'My Subject' box, enter the new subject.
  • When the message is closed, you will see the new subject.
  • If you were to forward or reply to the message, the subject in the forwarded message will revert to what it was originally.

Finding Messages

  • From any folder (mailbox, sent items, or ones you have created) you can use the Find feature to look for a name or keyword in the message subject.

  • When you type a name or word you see all messages in that folder matching this criteria.

  • Be sure to clear the Find filter when you are done. Click the blue and yellow intersecting circles and you will see all mail again.
  • New in GroupWise 8 - Filter has been replaced with 'Find' which allows you to search across all folders, libraries, contacts and categories. Advanced find
  • More advanced "Finds" can be performed if necessary. Consult the GroupWise help files for more details.

Mail Quota

  • GroupWise mailboxes are limited to 250MB. This includes items in the Mailbox, Sent Items, Cabinet, Calendar, Trash, etc. and any attachments on these items.
  • The Mailbox Quota tool (found on the bottom right side status bar of your mailbox window) can be used to remove items from your 'Trash', 'Sent items', 'Received Items' or 'Posted/Draft items' containers. Click on the text 'Mailbox Size' to open the size information window.

  • The containers are listed separately so you can archive or delete items from within these containers.
    • NOTE: Because we send and accept appointments via e-mail, items from your calendar may be included in all these containers. To determine where these items are stored, you should add another column to the dialog box. Here's how.
    • Right-click the Subject column heading and select Folder.
    • Although you cannot sort by the folder name, it is helpful in determining the kind of item and where it is being stored.
    • The good news is that you can sort on any of the other columns by clicking on the column heading.
    • To send an item to the Archive or the Trash, single click on the item and click the Archive - or - Delete button to the right.
    • Select consecutive messages by holding down Shift and clicking the first and last message.
    • Select non-consecutive messages by holding down Ctrl and clicking each message.

  • When you are done checking your mailbox size, simply click the Close button.

Restoring Deleted Items

  • If you have deleted an item by accident, you may be able to restore the item.
  • For regular mail items:
    • From the main Groupwise window, Click File > Open Backup
    • Right-click the desired file to restore.
  • For Calendar Items:
    • Go to the calendar and switch to the 7 day view.
    • Click File > Open Backup and right-click the desired file.


Junk Mail Handler

  • The GroupWise Junk Mail Handling feature lets you automatically oust your unwanted Internet email out of your inbox.
  • To make it work, you need some junk mail to start with (like THAT's going to be a problem!), and the junk mail needs to come from an Internet address (don't most of them?). Right-click on the piece of mail. You'll see a drop-down list that includes an option for Junk Mail. Click the arrow, and you'll see a few more options.
  • If you choose Junk sender, all future email items from that email address will be delivered to your Junk Mail folder. Automatically. You'll never again see them in your inbox.
  • But wait! There's more! Take a short break from your celebration to notice the next option: Block sender. If you choose that option, no more email items from that address will be delivered to your mailbox. That's right: none. Ever. (Resume celebrating.)
  • Whew! Caught your breath yet? Then you might wonder what to do with the Junk Mail folder. If you're worried that you might accidentally junk something you actually want to read, go in occasionally and peruse the contents. But watch out: your Junk Mail folder can hold as many as 1000 messages. (After that, they start dropping off.) You can see how many items are in the folder with a simple glance.
  • To avoid jamming up your GroupWise, you can specify that all junk mail get sent to your trash after a certain period of time. Here's how:
  • Under Actions on the toolbar, select Junk Mail, then Junk Mail Handling. On the Settings tab, under Junk Mail Handling, check the box to automatically delete items, then specify the number of days you'll tolerate junk mail in the folder. After that, they'll be put in the trash can and hauled out to the curb without any further attention on your part.
  • This information can be used in conjunction with the GroupWise spam filter to eliminate even more unwanted messages.
