Archiving in GroupWise

Why Archive?

  • Your GroupWise Mailbox has size limitations.
  • It is necessary to archive messages from your mailbox (including Cabinet Folders, Calendar and Mailbox) because these messages are stored on the mail server. (Things in the Cabinet are not archived until you go through the process of archiving them.)
  • When you archive, you remove the messages from the mail server and place them in storage on the hard-drive of your computer.
  • As a space saving measure, your GroupWise account is automatically set to archive mail and calendar items more than 60 days old. To double-check your preferences:
    • Click Tools > Options
    • Double-click Environment
    • Select the 'Cleanup' tab.
    • If you make changes to the handling of appointments, tasks, and reminder notes, click 'OK' to save your settings.



Location of Archives

  • Your archives are located by default in C:\Novell\gwarc
  • To change the location, click Tools > Options. Double-click Environment. Click the File Location tab.


Archiving Messages

  • Right-click the item and choose Archive.
  • You can archive multiple items by:
    • Consecutive items - click the first item, hold down the Shift key on your keyboard and click the last item.
    • Non-consecutive items - hold down the Ctrl key on your keyboard and click each item.
  • You can right-click the selected items and choose Archive.
  • If you archive a lot of messages at once, it may take a few minutes for them to appear in your archive.


Opening Your Archives

  • Click the word Online above your list of containers on the left side of the mailbox window.
  • From the drop-down list, click Archive.

  • To get back to your mailbox, click Online again and click on your name.

Un-archiving Messages

  • Open your archive
  • Right-click the item in question.
  • You see that Archive is selected.
  • Click Archive to de-select this choice and un-archive the item.
  • The message will be in the same place in your live mail as it was in your archive (Mailbox, Folder, etc.)
  • If you unarchive a lot of messages at once, it may take a few minutes for them to appear in your live mail.


Fixing Archive Problems

    This utility will check the archive database, fix any errors that it finds and report any problems with your archives. If you are a heavy archive user, you should run this utility once a month.

  • Click Start > IPFW Icons > Email > Check GroupWise Archives.
  • Change the Database Type by clicking the radio button in front of Archive.
  • Click the folder button at the end of the Database Path field.
  • Browse to the location of your archives.
  • By default this is usually c:\Novell\gwarc\ but it is possible to change this.
  • Your archive folder will have a unique name such as gwstr6w3.
  • If you have multiple folders in the gwarc folder:
    • Open GroupWise.
    • Click Help > About GroupWise.
    • Find the information after Username:.
    • This code will be part of the directory name in C:\novell\gwarc. (e.g.; if your code is 6w3, when you go back to the utility and find your Novell folder, you should have a folder with 6w3 somewhere in the title.)
    • Record the three character code, click 'OK' to close the window and go back to the archive utility.
  • Click on your archive folder inside gwarc and click OK.
  • Under Action, choose Analyze/Fix Databases from the drop down list.
  • Click the check boxes in front of Structure, Index Check, Contents and Fix Problems.
  • Click Run.
  • After the utility checks your archives, close all prompt windows.
